These Terms apply to private consumers booking Ruka ForRest experiences for a specific date and time through the Ruka ForRest website or its booking platform.
2. The booking
The experience description, date, time, duration, maximum group size, inclusions, exclusions, accessibility information, total price and product-specific conditions shown before payment form part of the contract.
The person making the booking must be at least 18 years old and authorised to act for all participants. A contract is concluded when Ruka ForRest sends the booking confirmation by email.
The total price, including applicable VAT and unavoidable charges, is displayed before the order is submitted.
3. Customer cancellations
Ruka ForRest experiences are leisure services provided on a specific date and at a specific time. The statutory 14-day right of withdrawal applicable to many online purchases does not therefore apply.
3.1 Scope, requests and refunds
This policy applies to consumer bookings made directly with Ruka ForRest Oy. If an experience is booked through a third-party travel agency, reseller or marketplace, the cancellation terms shown by that seller at the time of booking apply.
Cancellations and rescheduling requests must be submitted through the booking management link, where available, or by email to info@rukaforrest.fi. A request becomes effective when it is received by Ruka ForRest. Cancellation deadlines and rescheduling request deadlines are calculated from the scheduled starting time of the experience in Finnish local time.
Refunds due following cancellation will be returned to the original payment method within 14 days from the date the cancellation is received. For cancellation by the customer, this period begins when Ruka ForRest receives the cancellation. For cancellation by Ruka ForRest, it begins when the guest receives our cancellation notice. The guest may instead choose another available date under section 3.7.
A refund of any price difference following rescheduling will be made to the original payment method within 14 days of confirmation of the new date. Any other refund due under these Terms, including a refund following a price reduction, will be made to the original payment method within 14 days from the date the entitlement to that refund arises.
3.2 Sauna and Night Sauna experiences
- Cancellation at least 7 days before the experience: full refund.
- Cancellation less than 7 days but at least 72 hours before the experience: 50% cancellation fee.
- Cancellation less than 72 hours before the experience: 100% cancellation fee and no refund.
3.3 Grillikota experience
- Cancellation at least 14 days before the experience: full refund.
- Cancellation less than 14 days but at least 7 days before the experience: 50% cancellation fee.
- Cancellation less than 7 days before the experience: 100% cancellation fee and no refund.
3.4 Rescheduling
A direct booking may be rescheduled once without a change fee:
- Sauna and Night Sauna experiences: the request must be received at least 72 hours before the scheduled starting time.
- Grillikota experience: the request must be received at least 7 days before the scheduled starting time.
The new date must be within 12 months of the original purchase date and is subject to availability and the seasonal availability of the same experience.
Any difference between the original and new price will be charged or refunded.
If a rescheduled booking is later cancelled, the cancellation fee cannot be lower than the fee that applied when the rescheduling request was received.
Ruka ForRest may refuse a request received after the applicable rescheduling deadline or a request for an additional change. Making such a request does not cancel the booking. The currently confirmed booking remains valid unless the customer expressly cancels it, in which case the applicable cancellation fees apply.
A booking may be transferred to another guest free of charge if Ruka ForRest is informed before the experience and the new guest meets all participation requirements.
3.5 No-shows and late arrivals
A no-show is charged at 100% of the booking price. No refund or rescheduling is provided.
Late arrival does not extend the booked session or reduce its price. Guests may use only the time remaining in their original booking.
3.6 Illness, travel disruption and weather
Illness, changes in travel plans, delayed or cancelled transport, missing travel documents and ordinary seasonal weather do not automatically entitle the guest to a refund or a late change of date. We recommend appropriate travel insurance.
Weather and natural conditions may require safety-related changes to the experience. Ruka ForRest may restrict access to the lake, ice hole or other outdoor areas when necessary for safety.
If a material part of the experience cannot be provided and no reasonable equivalent can be offered, the guest may choose between rescheduling and an appropriate refund.
3.7 Cancellation by Ruka ForRest
If Ruka ForRest cancels the entire experience, including when it cannot be provided safely or as agreed, the guest may choose:
- another available date; or
- a full refund of the amount paid.
The guest does not have to accept another date instead of a full refund.
Unless required by mandatory Finnish law, Ruka ForRest is not responsible for separate travel, accommodation or other third-party costs resulting from the cancellation.
This section does not limit the customer’s rights if Ruka ForRest cancels the booking or fails to provide the agreed service.
4. Participation and safety
Participants must meet the age, group-size and other conditions stated in the experience description. The minimum participant age is 18.
Guests must follow the safety instructions provided by Ruka ForRest, particularly when using the sauna, hot tub, fireplace, lake or ice-swimming area. Smoking indoors and bringing pets are not permitted.
Guests who are intoxicated must not use the sauna, wood-fired hot tub (palju), avanto or Grillikota. Ruka ForRest may refuse or stop participation if a guest appears intoxicated, behaves dangerously or repeatedly ignores safety instructions. Any refund will be assessed under these Terms and mandatory consumer law.
Dietary requirements, allergies and accessibility needs must be reported by the deadline stated in the booking process. An adjustment is confirmed only when accepted by Ruka ForRest in writing.
5. Safety-related changes and partial non-performance
The availability of the lake, ice-swimming area, outdoor fire and other weather-dependent elements is subject to safe conditions.
Ruka ForRest may make reasonable safety-related changes that do not materially reduce the experience.
If a material part of the experience cannot be provided and no reasonable equivalent can be offered, the guest may choose between a suitable new date and a proportionate price reduction reflecting the part not provided. If payment has already been made, the price reduction will be refunded.
If Ruka ForRest cancels the entire experience, section 3.7 applies: the guest may choose another available date or a full refund of the amount paid. A proportionate price reduction does not replace the right to a full refund when the entire experience is cancelled. This section does not limit any rights or remedies available under mandatory consumer law.
6. Service defects and complaints
Ruka ForRest will provide the experience with professional care and as described at the time of booking.
Complaints should be sent without undue delay to info@rukaforrest.fi, together with the booking reference and a description of the issue. Nothing in these Terms excludes or limits rights or remedies that cannot lawfully be excluded under consumer protection law.
7. Personal data and cookies
Information about the processing of personal data, cookies and consent settings is provided in our combined Cookies & website privacy policy.
8. Applicable law and disputes
Finnish law applies. This choice does not deprive a consumer of mandatory protection granted by the law of their country of habitual residence.
The parties should first attempt to resolve any dispute directly.
If the matter cannot be resolved, the consumer may contact Consumer Advisory Services and then refer the matter to the Finnish Consumer Disputes Board.
The consumer may also bring a claim before any court competent under applicable law.
